Guardians

Set up guardian accounts so parents can view student progress.

Keep parents and guardians informed by giving them access to view their students' grades, attendance, and schedules. Guardian accounts have read-only access to ensure data integrity.

What Guardians Can See

Guardians have view-only access to:

  • Grades: All assignment grades for linked students
  • Attendance: Present, tardy, and absent records
  • Schedule: Class sections and meeting times
  • Assignments: Due dates and point values
  • Comments: Teacher feedback on assignments

Guardians cannot:

  • Modify any data
  • Access other students
  • View teacher or admin features
  • Change settings

Inviting a Guardian

To invite a parent or guardian:

  1. Go to Settings > Invitations
  2. Click Invite Member
  3. Enter their email address
  4. Optionally enter their full name
  5. Check the Guardian role
  6. Select the Students they can view
  7. Click Send Invitation

The guardian receives an email invitation to create their account.

You can also invite guardians directly from a student's profile page.

Linking Guardians to Students

Guardians must be linked to specific students to see their information:

During Invitation

Select students when sending the invitation (see above).

After They've Joined

  1. Go to Settings > Members
  2. Find the guardian
  3. Click to edit their profile
  4. In the Students field, select students they should access
  5. Save changes

From a Student's Profile

  1. Open the student's profile
  2. Find the Guardians section
  3. Link an existing guardian account

Guardian Portal Overview

When guardians log in, they see:

Student Selection

If linked to multiple students, they choose which student to view.

Student Dashboard

The main view shows:

  • Classrooms: All classes the student is enrolled in
  • Overall grades: Current grade per classroom
  • Recent assignments: Latest graded work
  • Attendance summary: Present, tardy, absent counts

Classroom Details

Clicking a classroom shows:

  • All assignments with grades
  • Category breakdowns
  • Attendance records for that class
  • Teacher feedback shared with family (top-level grade comments marked Share with family)

Schedule View

Shows the student's class schedule with:

  • Classroom names
  • Section/period assignments
  • Meeting times

Managing Guardian Access

Adding More Students

A guardian can be linked to multiple students (siblings):

  1. Edit the guardian in Settings > Members
  2. Add additional students to the Students field
  3. Save

Removing Student Access

To revoke access to a specific student:

  1. Edit the guardian's profile
  2. Remove the student from the Students field
  3. Save

The guardian can no longer see that student's information.

Removing a Guardian Entirely

To completely remove guardian access:

  1. Go to Settings > Members
  2. Find the guardian
  3. Click remove
  4. Confirm

Teacher as Guardian

Teachers can also be guardians for their own children:

  1. The teacher must have an existing account
  2. Edit their member profile
  3. Add students to the Students field
  4. The guardian role is automatically applied

They'll see their teaching features plus a guardian view for their linked students.

Troubleshooting Guardian Access

Guardian can't see a student:

  • Verify the student is linked in the guardian's profile
  • Check that the student has classroom enrollments
  • Ensure the guardian account is active

Guardian sees no grades:

  • Verify assignments have been created
  • Check that grades have been entered in the gradebook
  • The student must be enrolled in the classroom

Invitation not received:

  • Check the spam folder
  • Verify the email address is correct
  • Resend the invitation from Settings > Invitations
